What are Auto-Responders?
Auto-responders automatically send replies to incoming emails based on rules you configure

Use auto-responders for:

  • Out-of-office messages when you're away
  • Automatic acknowledgments for support requests
  • Information responses for common inquiries
  • Vacation notices
Setting Up Auto-Responders

Step 1: Go to Settings → Auto-Responders

Step 2: Click "New Auto-Responder"

Step 3: Configure settings

Name: Internal name for the responder

Subject: Subject line for the auto-reply

Message: Body of the auto-reply (supports HTML)

Conditions: When to send (all emails, specific senders, etc.)

Frequency: Once per sender, once per day, every time

Schedule Auto-Responders

You can schedule auto-responders to activate and deactivate automatically:

  • Set start and end dates for vacation messages
  • Enable/disable based on time of day
  • Activate only on specific days of the week

Tip: Always set an end date for vacation auto-responders to avoid sending replies indefinitely.

Best Practices

Be Specific

Use conditions to only respond to relevant emails, avoiding spam and automated systems.

Limit Frequency

Set frequency to "once per sender" to avoid annoying contacts with repeated replies.

Clear Messages

Keep auto-reply messages concise and informative. Include when you'll be back or when to expect a response.

Test First

Send yourself a test email to verify the auto-responder works as expected before enabling it.
